Learning Objective
Learn how to properly close out a job in Clik, ensuring all notes, photos, status updates, and follow-up actions are clearly documented. Understand how to protect the company, support the office, and present a professional record of work completed.
1. Overview
Finishing a job doesn’t just mean jumping in the van and heading home — it means creating a complete, accurate record in Clik that reflects the work done, what was found, what’s still needed, and who you spoke to etc... Good records support billing, warranty claims, future servicing, and customer confidence. A detailed job entry can be more valuable than the physical work when something goes wrong later.
2. Tools & Materials Required
Clik system (iPad, iPhone, or computer access)
Camera (built-in phone/tablet)
Dictation tool (optional — iOS speech-to-text works well)
Good lighting for photos
Customer contact name/info
3. Before You Start
Make sure you have stable internet or mobile data connection.
Let customer know you'll be a few minutes on their drive doing paperwork before you leave.
Check Clik is logged in and ready to accept uploads.
Confirm you have the correct job sheet open.
Ensure your device is charged or charging in the van.
4. Procedure
After you have read your jobsheet, understood what's required, completed the job, spoke to the customer then:
A. Take Photos, add to the jobsheet
Take clear, high-quality images of:
'Before' shots of what the initial issue was for reference later.
The work once completed (e.g., motor install, wiring, accessories)
Site context (overview/perspective, other components for the record)
Any removed parts (evidence for warranty or disputes)
Potential social media/website shots, in hi-res
Faults remaining if a job is not completed or other work is required
You can add more than photos 5 if you do them in batches.
You can select HI-RES in Clik if you want to add better quality pics.
Never assume the office “already has photos” — more photos = better.
Screenshots of programming info are good. eg GSM's settings.
Photos of CCTV monitors showing all the camera angles/locations are good.
B. Fill in the Job Sheet "Actual work done"
Include, in full sentences and with punctuation under a NEW section of 'actual work done' in Clik:
Time arrived, time left in this format: On site 0900-0945
If for any reason any of this in not chargable eg "I spent 15 mins FOC survey for CCTV"
Person spoken to — include their name and what you told them "Mrs Smith asked me to do this"
What you actually found, regardless of what was reported initially
What was done, regardless of what was supposed to be done. We will not assume you have done what the jobsheet said was supposed to be done. (e.g., “I serviced the gates and adjusted the hinges. The bottom hinge on the right-hand gate needed winding in. Supplied and coded 2 x DEA 2 button transmitters”)
Parts you used including quantity, model, ownership eg. "I coded in 2 of the customers' own transmitters" so we are perfectly clear whether to charge or not.
Any extra parts that will be required inc model numbers eg. "They need a quote for 1 x VX8800 and fitting, approx 30m to fit"
Any further action required eg. "We need to return when we have a new CCE38 safety edge, FOC warranty"
Access info: gate codes, PINs, app settings, passwords eg. "I changed the entry keypad code from 1234 to 4321" (note we state which keypad, in case there are multiple)
Compliance status (e.g., “Gates do not comply with safety standards — customer advised of risks, safety report competed”)
Any other significant information, do not assume they will contact us separately to go through anything, they wont, they rely on you relaying all the info.
C. Update Job Status in Clik
Invoice → Job fully complete, no further action needed
Invoice + FAR (Further Action Required) → Job mostly complete but:
A revisit is needed
Extra parts required
Some issues unresolved
FAR Only → Partial jobs or callouts with no invoice yet but follow-up needed
D. Tick complete
Complete means the jobsheet is complete, not the job
We won't look at jobsheets that are not ticked
✅ Correct status helps the office triage jobs and avoids missed billing!
E. Save the job
Save jobs before you upload them
This way they stay on your device even if upload fails
You can select upload and save also, or "Don't Remove", but a good habit is to save first too
F. Upload now or when you have good signal/wi-fi
Ideally upload after every job
If you have bad signal or large files then wait until you get to wifi eg at the office
Let the office know you have uploaded, or if you can't upload. Just a what's app is fine "Done Mrs Smith, can't upload Clik, going to next job"
5. Best Practices
Use speech-to-text if it helps capture detail quickly.
Double-check uploads — Clik can be glitchy; confirm notes and photos are saved.
Write enough detail so another engineer can take over without calling you.
Stick to factual, objective notes.
Record any recommendations given to customer (e.g., “Further work may be needed on intercom in future”).
Write codes, number etc in Clik, it makes finding them later much easier than trying to find photos of things written on paper and photographed.
Call the office immediately if you have any issues
6. Common Mistakes to Avoid
Uploading no photos or only close-ups with no context.
Forgetting to record time taken → delays invoicing.
Missing FAR → jobs get lost or left unbilled.
Writing vague or unpunctuated notes.
Assuming “someone already knows” → if it’s not in Clik, it didn’t happen.
Leaving codes/settings on paper instead of uploading.
Forgetting to record CCTV passwords.
